Considered work with AI, at your team's own pace

Mindwell Systems offers a small set of engagements for teams navigating applied AI — from early articulation through ongoing governance. The work is written, careful, and unhurried.

Three ways we work with teams

Each engagement is a distinct form of practice. They do not require one another, and a team may find that only one fits their present situation.

Applied Scoping

engagement 01

Applied Scoping

A short engagement that helps your team articulate the question, the constraints, and the readiness conditions for a possible applied model. The deliverable is a written scoping note that you may circulate internally. No commitment to build is implied.

  • Written scoping note as deliverable
  • Articulation of constraints and readiness
  • Suitable for early-stage exploration

Reflective Review

engagement 02

Reflective Review

A measured review of your existing applied system or set of systems. The review attends to model behaviour, data conditions, human review processes, and your team's written decision record. Findings are returned as a careful written assessment.

  • Review of model behaviour and data conditions
  • Suitable for internal review preparation
  • Written assessment with considerations

Steady Companion

engagement 03

Steady Companion

A twelve-month arrangement supporting an in-house team. The companion attends one monthly meeting, offers written reflection at quarterly intervals, and remains reachable for shorter conversations across the year. No directive role — only steady, considered company.

  • Monthly meeting attendance included
  • Quarterly written reflection notes
  • Reachable for ad-hoc governance questions
RM 4,490 / year enquire

why mindwell

What distinguishes this practice

Written deliverables, not slide decks

Every engagement concludes with a document your team can read at their own pace, share with colleagues, and return to as conditions change.

No predetermined conclusion

Scoping does not assume a build will follow. Review does not assume findings will be unfavourable. The work is shaped by what we find, not by what we set out to recommend.

Governance alongside technical review

We attend to how decisions are made and recorded, not only to whether a model performs within acceptable tolerances.

Companion, not director

The Steady Companion arrangement is designed to support your team's own reasoning, not to substitute for it. The firm holds no decision-making role in your organisation.

Transparent about limits

We are clear about what a scoping note can and cannot establish, and about the difference between a considered view and a claim of certainty.

Careful with your information

We handle client materials under clear confidentiality terms, and do not reference client work in our own communications without explicit permission.

Is there a question your team has been sitting with?

A short conversation is often enough to establish whether one of our engagements fits your situation. There is no obligation, and no pitch. Write to us when you are ready.

questions

Things teams often ask

What is the difference between Applied Scoping and a typical consulting brief? +
A typical brief tends to arrive with a proposed solution already implied. Applied Scoping is specifically designed to work backwards from that — to ask what question the team is actually trying to answer, whether the conditions for a good answer exist, and whether an applied model is the right form for the work at all. The deliverable is a note, not a proposal.
Does a Reflective Review require access to source code or model weights? +
Not necessarily. The review attends to a broader set of conditions — how the team documents its decisions, how review processes are structured around deployment, and whether the data conditions supporting the model are well understood. Access to technical artefacts is useful where available, but the review can proceed meaningfully without full code access.
How long does a Reflective Review take? +
The typical engagement runs three to five weeks from initial document exchange to delivery of the written assessment. The timeline depends on the complexity of the systems under review and the availability of team members for structured conversation. We discuss this at the outset and build a shared working schedule.
Can the Steady Companion arrangement begin mid-year? +
Yes. The arrangement runs for twelve months from the date it begins. There is no requirement to align with a calendar or financial year. Some teams find it useful to start the companion arrangement after completing a scoping or review engagement, once they have a clearer sense of where ongoing support is most useful.
Is the pricing inclusive of all work, or are there additional charges? +
The prices listed are all-inclusive for the engagement as described. If a client wishes to extend the scope — for instance, to add a supplementary workshop or a second review cycle — we discuss that separately. We do not introduce charges that were not part of the original engagement description.
How is client information handled during an engagement? +
All materials shared with us are treated as confidential. We do not share, discuss, or reference client information outside the engagement. We can provide a standard confidentiality agreement prior to any substantive exchange of materials. Your data is not used for any purpose beyond the work we have been asked to do.
